eCommerce and Square POS system implementation

Project Summary

Modernized technology toolset for an outdoor living product retailer.  Key elements included:  Implementing Square POS system to create inventory management and forecasting, migrating local QuickBooks to QuickBooks online which included foundational accounting principles efficiencies, and developing an SEO-optimized eCommerce solution for in-store pickup.  Changes have contributed to a 36% increase in sales and a 34% increase in gross profit.

Product Background

Square POS is a versatile point-of-sale system designed for businesses of all sizes. It enables merchants to process payments, track sales, manage inventory, and generate reports, all from a single platform. Square POS works with a variety of hardware, including card readers, tablets, and mobile devices, offering flexibility for in-store, online, or mobile transactions. Its intuitive interface and built-in features like customer management and analytics make it a popular choice for retailers, restaurants, and service providers.

Project Implementation

  1. Evaluate Business Needs
    Before we selected Square POS as the best solution for Simply Decks & Stuff, we ran through an exercise to identify the specific needs for their point of sales soltuion. We evaluated and considered what features were necessary, such as inventory management, payment processing, customer tracking, and sales reporting. While it was true that many of the other competitive options out there offered similar specs, we ultimately decided upon Square over the competitors due to the ease of use of the front end software, combined with the availability at the time of the hardware for the POS portion of the solution, but maybe most importantly the cost was relatively low compared to other solutions.
  2. Set Up Square Account
    With Square selected, setup was as easy as starting by creating an account on Square’s platform. Once registered, setup included things like adding business information including store name, contact details, and business category. This step was critical to ensure that the POS system reflects Simply Decks and Stuff’s branding, core offerings and staff user accounts.
  3. Install Hardware and Software
    As a part of the installation you must choose the hardware (card readers, terminals, or tablets) that best suits your store setup, to start we kept it simple with card readers attached to iPads. We also added some bar code scanners to streamline checkout at the counter in the shop.  As a final benefit this setup allowed for usage during an annual offsite sales event.
  4. Set Up Product Catalog
    Given the current state of inventory tracking, inputting all the products that Simply Deck’s BBQ Shop sells into the Square POS system was the most time consuming task. Organizing items into categories (e.g., grills, rubs, sauces, bbq tools, etc…) and inputting item descriptions, prices, and stock levels ensured that inventory was able to be tracked, and sales data was able to be pulled into reports like never before.
  5. Train Staff and Test the System
    Once set up, training the employees on how to use Square POS was the final step. They were able to easily complete sales, manage refunds, and view sales reports. We did this by running some test transactions to ensure everything worked smoothly, from checkout to receipt printing, especially for larger outdoor grill orders common for Simply Decks BBQ Shop.

Implementing Square POS for Simply Decks and Stuff ensured streamlined sales processes, enhanced inventory management, and a more seamless customer experience. By following these five steps—evaluating business needs, setting up the account, installing hardware, configuring the product catalog, and training staff—the business has been able to efficiently manage transactions both in-store and off-site.
